After much research though, we found the perfect solution – CASH (from Mentor Business Systems) is a service management software package which we’ve had tailored to our own specific requirements, and in just 3 months, it’s transformed the way we work!
CASH gives us instant two-way data communications with our field engineers, eliminating the need for them to have to physically pick up their daily job dockets – instead, receiving all the documentation they need on their smartphones. If necessary, the office can send them additional data – plans, drawings, other paperwork and even images – while they’re on site or on their way to visit a client. Here at the office, we can check on the progress of a job without having to call the engineer and take them away from their work, and because it’s two way, engineers can send us paperwork when the job is completed.
CASH also integrates neatly with the other management and finance tools we use, enabling us to run management reports at the touch of a button, and automatically updating client accounts, preparing statements and invoices.
It’s been quite an investment of time and money to get CASH in place, but already we’re starting to reap real benefits from having it right at the centre of our business. It brings our head office and field staff closer together, and streamlines our client service processes from start to finish. Engineers get information directly into their hands wherever they are – helping them to work more effectively, and dramatically reducing time spent travelling and filing paperwork, while head office staff are always fully up to speed on projects, need to spend less time liaising with engineers, and with many administrative tasks automated, have more time to focus on developing client relationships.
